How Core BTS Helped a Leading HR & Benefits Company
Make the Most of a Major Tech Transition

Business Situation

A leading HR and benefits consulting company wanted to boost internal efficiency and remain at the forefront of tech innovation in their field. As part of that mission, they purchased approximately 300 Microsoft 365 Copilot licenses for a proof of concept (POC) evaluation.

After evaluating multiple Microsoft-referred partners, the company selected Core BTS—a decision heavily influenced by our white glove training approach. While the other vendor took a more passive approach to training, Core BTS offered open office hours where employees from across the country could receive one-on-one guidance, ask real-time questions, and engage in live discussions. This hands-on support ensured employees felt confident in exploring Copilot’s capabilities.

Since being selected, Core BTS has worked closely with the company to evaluate potential use cases, train their POC users, and drive early engagement. Our high-touch approach has been instrumental in building momentum and excitement around Copilot. However, increasing adoption remains a key priority, as a significant challenge has emerged: the majority of the company’s documents are not stored in M365, limiting Copilot’s ability to access and leverage that information.

Our Solution

At the start of the project, the client gathered potential use cases for Copilot across their business units. Core BTS evaluated these use cases to define specific objectives and determine how Copilot could best drive efficiency.

We quickly discovered that many of the use cases were highly process-driven, making them less ideal for Copilot in its current state. As a result, we refined our training approach to focus on productivity-driven use cases, ensuring that employees could gain immediate value from the tool while allowing for future use case exploration.

Throughout the engagement, our team maintained ongoing touchpoints with the client, offering personalized training sessions and targeted support. As employees gained hands-on experience with Copilot, they began identifying additional ways to integrate it into their workflows. This iterative approach has fueled growing enthusiasm and new ideas for implementation.

The Results

Our white glove training approach has led to highly positive feedback from employees across the organization. While adoption is still an ongoing effort, teams are already experiencing meaningful productivity gains.

The HR team, in particular, has leveraged Copilot to streamline several high-volume tasks, including:

  • Drafting and updating job descriptions
  • Drafting policy updates and employee benefits communications
  • Summarizing interviews and feedback
  • Drafting PowerPoint presentations from Word documents
  • Survey creation

Beyond HR, the company continues to explore Copilot’s evolving capabilities. We are actively working with them to evaluate new use cases in Copilot for Excel and Copilot Studio, both of which recently received significant updates. With Excel now fully released from preview and Copilot Studio launching agents capabilities, the client is particularly interested in how these tools can help employees efficiently scan and process information from large-scale benefits manuals.
